This guide outlines the steps to follow when hosting CHI classes or a CHI show, from setting up your club and show through to importing Plaza entries, sending judge scoring links and managing results.

1. Register and Set Up Your Club Account

Register your club on the CHI system.

You will need:

  • Club Name
  • Name of Club Official
  • Club Official Mobile Number
  • Club Official Email Address

There is no charge to register your club.

2. CHI Hosting Requirements and Costs

Before hosting CHI classes or a CHI show, clubs should ensure they are familiar with the CHI Rules and Regulations.

Official CHI Rules and Regulations

The rule book includes:

  • Class structures
  • Level eligibility
  • Obstacle specifications
  • Course design guidance
  • Ring requirements
  • Scoring rules
  • Hosting standards
  • Safety requirements

All clubs hosting CHI classes are expected to follow the current CHI Rules and Regulations.

Hosting Costs

There is currently:

  • No charge to register your club
  • No annual affiliation fee

CHI hosting fees are based on entry income.

Current hosting fee: 10% of entry income.

Example:

  • 50 runs
  • £5 per run
  • Total entry income = £250
  • CHI hosting fee = £25

Payment is collected during the Plaza import process.

Show Requirements

CHI shows should provide:

  • Safe ring surfaces
  • Clearly marked rings
  • Suitable spacing between rings
  • Secure obstacle equipment
  • Adequate parking
  • Toilet facilities
  • First aid availability
  • Clear exhibitor information

Where possible, clubs are encouraged to provide:

  • Camping
  • Catering
  • Warm-up areas
  • Shelter/ring cover
  • Live scoring access

3. Create Your Show in the CHI System

Log into the CHI Dashboard.

Go to: Shows -> Add Show

Complete the following information:

  • Show Name
  • Start Date
  • End Date
  • Venue
  • Entry Closing Date
  • Pricing Mode
  • Number of Rings
  • Camping Information, if applicable

Save the show.

4. Create Rings

After creating the show, set up your rings.

Go to: Shows -> Manage Rings

Add each ring being used at the show.

Examples:

  • Ring 1
  • Ring 2
  • Indoor Ring
  • Main Arena

5. Upload Your Schedule

Before entries open, upload your official show schedule.

Go to: Shows -> Upload Schedule

Upload your schedule PDF or document.

The uploaded schedule is available to exhibitors and judges and should include:

  • Show dates
  • Venue details
  • Running information
  • Class lists
  • Ring plans
  • Entry fees
  • Camping details
  • Judge information
  • Closing date
  • Club contact information

After uploading, check the document opens correctly.

If changes are needed later, upload a replacement schedule.

6. List Your Show for Entries

List your CHI classes through your usual entry platform such as:

  • Agility Plaza
  • Agility Nuts
  • Your own club entry system

Your schedule should clearly include:

  • Show Date
  • Show Name
  • Handler Name
  • Dog Name
  • Dog Height
  • CHI Level
  • Class Number
  • Entry Fee

7. Import Plaza Entries into CHI

Once entries close, upload your Plaza spreadsheet into the CHI system.

Go to: Dashboard -> Import Plaza

Upload the original Plaza export file. Do not edit the spreadsheet before uploading.

The system automatically:

  • Creates handlers
  • Creates dogs
  • Creates classes
  • Creates entries
  • Assigns dogs to classes
  • Loads the scoring system

After import, check:

  • Class names
  • Dates
  • Levels
  • Ring assignments
  • Heights

If the spreadsheet is not uploaded at least 3 days before the show, contact the CHI committee immediately.

  • Saturday show -> upload by Tuesday midnight

8. Payment for Hosting

The CHI hosting fee is 10% of entry income.

Example:

  • Class fee = £5
  • 10 entries
  • Total entry income = £50
  • CHI fee payable = £5

Payment is made during the import process.

9. Check Classes and Ring Assignments

After importing, go to: Classes

Check:

  • Class Names
  • Levels
  • Dates
  • Heights
  • Ring Assignments

If required, edit the classes before show day.

10. Open Result Entry

On show day go to: Dashboard -> Results

Select:

  1. The Show
  2. The Class

You can:

  • Enter results
  • Edit results
  • Add queue order
  • Close classes

11. Create Public Result Entry Link

To allow judges or scribes to enter scores without logging in, go to: Shows -> Public Link

The system generates a secure result entry link for that show.

This public link:

  • Allows live result entry
  • Allows times to be recorded
  • Allows classes to be closed
  • Does not require login
  • Only works for that specific show

13. Entering Results During the Show

The result entry screen is optimised for phones and tablets.

Judges or scribes can:

  • Select the next dog
  • Add penalties
  • Record eliminations
  • Enter times
  • Save results instantly

Results automatically sort by:

  1. Highest score
  2. Fastest time

14. Close Classes

Once judging is complete, use Close Class.

Closing a class:

  • Removes it from open scoring
  • Moves it into historic results
  • Prevents further public result entry

15. Public Results

The public results pages automatically display:

  • Placings
  • Dog Names
  • Handler Names
  • Scores
  • Times

Results are live and update automatically as scores are entered.

16. Historic Results

Closed classes move into: Historic / Closed Shows

Historic results remain editable internally if corrections are needed.

17. Rosettes and Awards

Per CHI rules:

  • Placings should go to at least 3rd place
  • Rosettes should state CHI
  • Trophy choices are at the host club's discretion

18. Troubleshooting

18.1 No Dogs Showing

Possible causes:

  • Queue empty
  • Results already entered
  • Import issue

Solution:

  • Check class entries
  • Check queue
  • Re-import if necessary

18.2 Invalid Public Link

Possible causes:

  • Link disabled
  • Token incorrect
  • Expired link

Solution:

  • Generate a new public link

18.3 Times Sorting Incorrectly

Times should be entered as: 28.107
